How to Manually Register a Payment

You can apply payments to an Invoice/Bill manually and also through bank reconciliation. If you reconcile your bank daily, then you do not have to register manual payments. But, if you are not up to date with your bank reconciliation we recommend you to do manual payments in order to record your Accounts Receivables & Payables accurately. Also, if you want to make foreign currency payments using a manual exchange rate, you need to register payments manually. 

In this article, we will be showing you how you can manually apply a payment to a bill or an Invoice.


    How to Register a Payment to an Invoice Manually

  1. Go to the Accounting Module > Customer > Invoices



    2. Open the  Invoice  where you want to register payment to and click on  Register Payment.



    3.   After clicking on Register Payment, this page will pop up on your screen. Please fill out the necessary fields and click on Create Payment.

  • Journal -  Bank Account you received money to
  • Payment Method - Manual or Batch Deposit
  • Amount - The amount you received
  • Currency
  • Payment Date
  • Memo - Any reference to identify the payment
  • Apply Manual Exchange rate checkbox & rate - (Only applicable for Foreign currency payments) If you want to use a manual exchange rate other than the live rate for any foreign currency payment



     4. After clicking on  Create Payment,  your Invoice will now be updated to the " In Payment " status and the amount due will now be equal to  zero (0)  if it was a full payment.



 
  Once you have created manual payments, these payments will be available under bank reconciliation for you to reconcile. Once reconciled, the "IN PAYMENT" status of your transactions will now be changed as "PAID".



    How to Register a Payment to a Bill Manually 
 
    1. Go to Accounting > Vendors > Bills
 

     2. Open the bill where you want to register payment then click on  Register Payment.



    
 3. After clicking on Register Payment, this page will pop up on your screen. Fill out the necessary fields and click on Create Payment.

  • Journal -  Bank Account you will make the payment from
  • Payment Method - Manual or ABA transfer
  • Recipient Bank Account - If the supplier bank details are updated under the vendor card, the recipient bank will be updated automatically.
  • Amount - The amount you paid
  • Currency
  • Payment Date
  • Memo - Any reference to identify the payment
  • Apply Manual Exchange rate checkbox & rate - (Only applicable for Foreign currency payments) If you want to use a manual exchange rate other than the live rate for any foreign currency payment 


 
    4.  After clicking on  Create Payment, your Bill will now be updated to the " In Payment" status and the amount due will now be equal to  zero (0) if it was a full payment.
